- Identify a subject matter expert on your team. This person has institutional knowledge about your data and business processes. This is especially important if your company has gone through multiple migrations.
- Take the opportunity to clean up duplicate data and fields and formatting in your existing system. An example might be owner records that don’t have proper capitalization.
- Find a technical resource on your team who knows how to export information. If not, formulate a game plan.
- Identify what property specific amenities and data that you want to include and build in the new system that you don’t already have. Sometimes the system is old enough that you cannot put into new information. In newer systems, you should have unlimited amenities.
- Identify a means to map data for different components of the system. For example, how will you associate a property to an owner?
- If you’ve been using codes to mean something, take the time to look at how you might best create new amenities that will create efficiency, suck as a drop down box.
- Don’t put the cart before the horse and create your own spreadsheet. A proactive software solution will have templated worksheets that will target specific types of information so that they can be most effectively imported. Your software provider will advise you as to the appropriate time to pull different sets of information.
- Take the time now to check for duplicates. The best thing about a data port is being able to clean up your data. This is your most valuable asset. Treat it as such.
- Make sure you are working with a trusted partner who understands the importance of an effective and clean dataport as part of the morale and success of an implementation.
- Once the dataport is done, plan appropriately to have the resources on board to verify that the information has come across correctly.
Some Other Thoughts
Generally the decision to data port is based on size… If you are saving 3 minutes per property in manual data entry with 500 properties, you are saving 25 hours of staff time.

It was announced last week that Expedia had acquired Travelocity from Sabre Corporation for $280 million cash. The “official” merger followed a 2013 agreement “in which Expedia’s technology powered platforms for Travelocity’s U.S. and Canadian websites, while Travelocity drove additional web traffic to Expedia,” according to the Reuter’s article. This deal has created a huge opportunity for Expedia to be a kingpin in the online travel industry as it also has Hotwire, Hotels.com, and other travel websites in its arsenal.

Common Reasons to Work with Vacation Rental Management Companies

In parts of the country considered vacation hot spots, the amount of short-term vacation rental properties are on the rise. It is a natural and obvious evolution as they have become more and more popular as vacation accommodations not to mention people looking towards vacation rentals as investments or ways to add to their income. The problem with the increase, however, is that many properties are offered as vacation rental properties by owners without following the proper channels.
In Boulder, CO, city officials in the zoning office took control of the situation and issued cease-and-desist orders to property owners who rent space in their homes via VRBO and Airbnb. A Boulder Daily Camera News article from last week noted that “The city of Boulder recently sent cease-and-desist notices to 20 property owners who are renting out space in their homes through Airbnb or Vacation Rentals by Owner after complaints were received against them.” Specifically, the article stated that the cease and desist letters came from the city’s zoning enforcement office and stated that the areas in which the rentals were located do not allow for hotels or bed and breakfasts or any lodging for less than a month.
Vantage Resort Realty Vacation Rental Management Launches New Website

Vantage Resort Realty of Ocean City, MD launched their new website yesterday (http://www.vantageoceancity.com) . The website was developed by InterCoastal Net Design. (ICND), a Barefoot Technologies preferred web company. ICND and Vantage collaborated on the new website and utilized the API integration provided by Barefoot’s vacation rental software.
“This is one of the advantages of working with Barefoot,” notes Ed Ulmer, CEO. “We have fifteen years of development with a comprehensive set of API’s that allow our web partners to get the data that they need to create compelling websites. We are excited to see how Vantage’s new site will bring increased bookings and revenue. Great job ICND team!”
